Data Processing Agreement

DATA PROCESSING AGREEMENT

This document explains how Personal Data will be handled when Dr Logic provides Services to the Customer under the Agreement. It applies whenever Dr Logic processes Personal Data on the Customer’s behalf and sets out the data protection terms that both parties must comply with. This DPA forms part of the Agreement and does not replace the other contractual terms. Instead, it deals specifically with data protection and privacy matters. If there is any inconsistency between this DPA and the Agreement on a data protection issue, this DPA will take precedence for that issue.

Appropriate Technical and Organisational Security Measures

Dr Logic has implemented appropriate technical and organisational measures to ensure a level of security appropriate to the risk, taking into account the nature, scope, context and purposes of the processing and the risks to the rights and freedoms of individuals.

  1. Governance and Information Security Management

Dr Logic maintains a documented information security framework aligned to recognised standards and good industry practice. Information security roles and responsibilities are formally defined, including designated responsibility for information security and data protection oversight. Information security policies are reviewed periodically and updated as required.

  1. Access Control and Identity Management

Access to systems and data is restricted based on role and business need. Administrative privileges are controlled and granted only where required. Multi-factor authentication is enforced for access to critical systems. User access is reviewed and removed as part of onboarding and offboarding processes.

  1.  Device and Endpoint Security

Managed devices are subject to endpoint protection controls, including malware protection and monitoring. Devices are configured in accordance with documented hardening guidelines. Encryption is applied where appropriate to protect data on devices. Lost or compromised devices may be remotely secured or wiped where supported.

  1. Logging, Monitoring, and Security Detection

System and security logs are generated and retained in accordance with documented policies. Automated monitoring and alerting mechanisms are used to detect suspicious or anomalous activity. Security events are investigated and managed through defined incident handling processes.

  1. Incident Management and Response

A documented incident management process is in place to identify, assess, respond to, and recover from security incidents. Incidents involving Personal Data are escalated appropriately and handled in accordance with applicable legal obligations. Lessons learned from incidents are used to improve controls and processes.

  1. Data Handling, Retention, and Disposal

Personal Data is classified and handled according to its sensitivity. Data is retained only for as long as necessary for the provision of the Services, compliance with legal obligations, or as otherwise agreed with the Customer. Secure deletion and disposal processes are applied when data is no longer required.

  1. Backup and Business Continuity

Data and system configurations are backed up in line with documented retention and recovery procedures. Backup data is protected against unauthorised access. Business continuity and recovery arrangements are in place to support service restoration following disruption.

  1. Physical and Environmental Security

As a remote-first organisation, Dr Logic does not operate on-premise data centres. Physical access to any facilities or environments used by Dr Logic is controlled and restricted. Clear desk and secure handling practices apply to physical documents and devices.

  1. Training and Awareness

Personnel receive information security and data protection awareness training. Staff are required to comply with security policies and report suspected incidents or weaknesses.

  1. Data Transfers

Where Personal Data is processed outside the United Kingdom or the European Economic Area, appropriate safeguards are applied in accordance with applicable data protection law, including Standard Contractual Clauses or other lawful transfer mechanisms where required.
